Secure Storage

Disk encyption will safeguard your laptop should it be lost or stolen. The built-in applications for Windows (BitLocker) and Mac OS X (FileVault) come with reasonable solutions that are supported by both the academic and health system. If your version of Windows does not contain BitLocker, the health system will provision the Dell Data Protection Encryption software for you.

USB/flash drives that are plugged into Health System computers will generate a prompt for encryption when users attempt to save data to the USB/flash drive. To store sensitive data on a USB/flash drive that is transportable, the UVA Health System can provision a FIPS-certified “Secure Key” USB/flash drive.

Cloud storage

With careful attention to the types of data being stored, secure cloud storage can be very effective and convenient. With affiliations to the University and Health System, School of Medicine students have two options for secure storage.

Box.com

The university offers up to 1 TB of storage to students for free as long as you are at UVA. This solution is appropriate for your University files containing nonsensitive and moderately sensitive data (FERPA-protected data including transcripts). Box.com is NOT appropriate for highly sensitive data (contains personal identifiers combined with financial information, HIPAA or PHI) data. It comes with a simple, intuitive way to back up your documents, access your files on your mobile device, share files with others, and send large files as links instead of huge email attachments.

DropBox with Sookasa

The Health System offers secure cloud storage to students and employees as long as you are affiliated with the UVA Health System. When combined with “Sookasa” this solution is appropriate for both moderately sensitive and highly sensitive data. Like other enterprise cloud storage options, the interface is simple and intuitive, supports back ups of your your documents, access on mobile devices, supports file sharing, etc. More information on the solution is available here – http://hit.healthsystem.virginia.edu/index.cfm/departments/security/guides-tools-and-forms/dropbox-guide/

To request your DropBox/Sookasa account use the online access request form to request “Secure Cloud Storage” and a “Standard Account” (health system credentials required) –https://www.healthsystem.virginia.edu/alive/computing/forms/Security/OAR2/AccessRequest.cfm?
