Policies
BPSSR policies outlined below describe the request submission schedules, work priorities, funding models, authorship, and publication acknowledgement requirement.
Request Submission Schedules
In order to better manage BPSSR workflow on projects with external deadlines, requests should be submitted under the following guideline:
- Grant Preparation: Requests for grant proposal assistance should be submitted at least 6 weeks before the grant submission deadline. For NIH P, U and SPORE proposals (or similar) a lead time of 6 months is required. We cannot guarantee assistance for requests submitted after this deadline.
- Protocol Development: Requests for Investigator-initiated Trial (IIT)/Letter of Intent (LOI) development should be submitted at least 4 weeks before the deadline.
- Analysis for abstract: Requests for data analysis assistance for abstract presentation at a national or international meeting should be submitted at least 6 weeks before the deadline, with appropriately formatted datasets for analysis being provided 4 weeks ahead.
- Pre-NIH submission proposal reviews: Requests for external proposal reviews should be submitted at least eight weeks prior to the submission deadline.
Please note: BPSSR will only work on analysis for an abstract presentation if the assigned biostatistician or data analyst is notified and given enough time to review the abstract at the time of submission.
Work Priorities
BPSSR provides timely and efficient support for UVACCC members. BPSSR prioritizes projects as follows:
- Peer-reviewed funded projects by NIH or other agency (e.g., DoD, NSF, PCORI, Foundation, etc.);
- Peer-reviewed grant applications;
- Investigator-initiated clinical trials;
- Non-peer-reviewed funded projects;
- All other projects. BPSSR also accords high priority to the education of UVACCC members and trainees.
Funding Models
BPSSR provides cost-effective support for UVACCC members via diversified funding models to accommodate different types of projects and funding levels.
- In-kind support for grant preparation and IIT/LOI development, noting that BPSSR personnel expect to be included in the budget at reasonable FTE percentages (See Department of Public Health Sciences (PHS) Research Collaborations % Effort Benchmarks for guidance).
- Feasibility review: Up to 3 hours of feasibility assessment per study for population science studies.
- Data extraction: Up to 5 hours for UVA Epic and Cancer Registry data extraction.
- Initial consultation: A 1-hour consultation meeting is provided at no cost at project initiation.
- For data analysis and data management support for other projects, a one-hour initial consultation is offered free of charge. Following that, services are billed at established hourly rates*.

- Applies to clinical trials, grants, and other long-term collaborations to ensure appropriate allocation of BPSSR personnel effort and funding (see the %Effort Benchmarks above) throughout the project period.
Authorship
Investigators are expected to adhere to the authorship policies outlined on the PHS website.
Publication Acknowledgement
If research supported by BPSSR results in publication, please acknowledge BPSSR support by including the following in your publication(s):
