POSTER SESSION

DEADLINE for submitting abstracts for Research and Scholars Week: Midnight, Monday, March 25, 2024.

Content may include:

• retrospective studies
• prospective studies
• clinical trials
• inventions

Requirements

1. Participation in the poster session requires the submission of an abstract. Abstracts must be submitted no later than midnight, March 25, 2024.
2. We are unable to accommodate oversized posters. Poster dimensions may not exceed 3′ wide by up to 5′ tall. Poster boards will be set up “refrigerator” style (3′ wide by up to 5′ tall).
3. Each poster will be assigned a number and a poster board location.
4. The presenter is responsible for ensuring his/her poster is delivered and affixed to the poster board.
5. T-pins will be available at the registration desk.
6. Poster set-up is between 8:00 – 9:00 am on the day of the event.
7. The poster session takes place from 12:00 – 12:30 pm on the event day. Presenters are requested to be stationed by their posters and available to discuss their research during this time.
8. Posters must be removed after the event. If you cannot retrieve your poster immediately preceding the event, please contact Anthony Brinkman, or the poster/s will be discarded.

Abstracts will be accepted only via the web registration form. Hard copies, disks, or email submissions will not be accepted. Deadline: Midnight, Monday, March 25, 2024.

Instructions for submitting an abstract:

• You must be logged into a UVA server with your Net Badge to upload your abstract on the registration webpage.
• Save the Word file with your abstract as a PDF file. Include your name as part of the file name (i.e., Johnson-Mary-R&S_Abstract.pdf).
• Upload the PDF file to the online registration form, using the “Attach Abstract” button. The registration form is linked in the left-hand menu.
• Check the appropriate box during submission to indicate if the presenting author is a resident, clinical fellow, research fellow, or other.
• Check the appropriate box during submission to indicate if the abstract should be considered for the Shyr-Te Ju Award.
• We can accept revisions of your abstracts up to the submission deadline. After that, all submissions are final.
• Abstracts will be arranged thematically and numbered in the order they are received. A listing of all abstracts will be available online one week before the event.

Format guidelines:

1. The abstract should be created in Word and submitted as a PDF document. See above.
2. Use Arial 11 pt. font.
3. At the top of the document, list the names of the authors, with the presenting author’s name underlined:
   Jones J, Smith RF, Parker G. The effects of marigolds on men on the moon. 
4. The abstract should not exceed one page or approximately 350 words
5. Use the “Background, Methods, Results, Conclusions” format: SAMPLE ABSTRACT.

Due to limited parking, spaces will be made available only to speakers and special guests. All other participants are encouraged to take advantage of the health benefits associated with walking!
